Prepped Transcribe pilot version - privacy policy

This Privacy Policy explains how Achmea Services N.V. acting on behalf of Achmea Innovation Hub, externally known and referred to as Achmea Impact Ventures (“we”, “us”) processes personal data for the Prepped Transcribe macOS application (“App”).
The App’s core functionality processes data locally on your device.
We collect only minimal personal data required for authentication, subscription handling and basic usage analytics.

Data We Collect

Account Data
When you register, we collect:

Email address
Supabase user ID
Registration timestamp

This is used to authenticate your access to the App.

Subscription Data
We receive subscription status (active/inactive) from Stripe via secure webhook.

Usage Data
We use Google Analytics (GA4) to collect anonymised usage events such as:

App opened
Transcription started
Basic feature interactions

These events do not include audio, transcript content, or personal meeting data.

No Collection of Audio or Transcripts
We do not collect, receive, store or access:

Audio files
Transcripts
Notes
Meeting metadata

All such data is processed locally on your device.

Local AI Processing

The App uses open-source, on-device models including Meta LLAMA 3.2 3B Instruct and NVIDIA Parakeet TDT-0.6b v3.
Processing with these models occurs solely on your device.
No personal data is shared with the model creators.

Optional External AI Providers

If you connect your own AI provider using an API key, your data is processed directly between your device and that provider.
We do not store or access your API key.
The privacy practices of the external provider apply.

Legal Basis for Processing

We process personal data on the following bases:

Performance of contract (providing access to the App)
Legitimate interest (maintaining and improving App functionality through anonymised analytics)
Consent (if you choose to integrate third-party AI services)

Use of Service Providers

We do not share personal data with third parties for their own purposes.

We make use of the following processors who act solely on our behalf:

Stripe

Stripe Payments Europe, Ltd. (Dublin, Ireland)
Handles all payments, billing and subscription processing
Operates under PCI-DSS compliant systems
No payment data is processed within the App

Google Analytics (GA4)

Google Ireland Limited
Processes anonymised or pseudonymised usage events (e.g., App opened, transcription started)
No audio, transcripts or meeting data are processed by Google

Google Cloud (Primary Infrastructure)

Google Cloud Platform (Google Ireland Limited)
Used for backend infrastructure supporting authentication, account data, and App functionality
All personal data processed within Google Cloud is stored within the European Union

Supabase (Pilot Phase Only)

Supabase is used on a temporary basis during this limited pilot phase for basic authentication only. We store only an email address, user ID and registration timestamp. No other personal data is processed in Supabase.

Storage & Retention

Account and subscription data are kept for the duration of the pilot or your active subscription.
Anonymised analytics are retained according to GA4 defaults.

All transcription data remains exclusively on your device.

Security

We use secure authentication through Supabase (EU-only).

All payments and billing information are processed directly by Stripe, using their own secure, PCI-compliant systems. No payment details are stored or processed in the App.

The App itself follows industry-standard security practices provided by macOS, including local sandboxing.
